Our Order Process

Our order process is basically: “You tell us what you want ... We make it happen!” We have recently implemented a new back-office order processing system which allows us to move you through each stage of the ordering process very simply. In brief these stages are:

1. YOU TELL US WHAT YOU WANT

  • In the first instance you need to let us know what you are looking for!
  • If you are an existing customer you can login to our website and look up previous order history (for repeat orders), search our product database or let us know if you want our help.
  • New customers can very easily create a new account by clicking the link on our home page and then use all the search functionality of our site straight away.

  • If you don't know exactly what it is that you require then we're always here to help; just fill out the enquiry form, send us an email or give us a call.
  • Our 'Promotif Enquiry / Brief' (link) form may be a help to you at this stage.
  • It does help us if you can give us all your contact information at this stage, but if you're in a hurry, or don't want to give us our full details then it's really not a problem.

2. WE QUOTE

  • Once we have your enquiry one of our team will work on it and source the right type of products to fulfill your needs.
  • Depending on the nature of the enquiry we should have a response for you very quickly; within the hour usually, but sometimes longer for complicated requests.
  • When we quote we will give you full details of each product quoted for, a visual for reference, all costs related to it's production (no hidden extras) and the timescale required for production.

3. YOU CHOOSE

  • Once you've looked over the products that we have quoted for you can either go ahead with an order, or refine your brief and ask us to look for other options.
  • If you need to see a sample we can of course provide these at this stage (mostly free, but sometimes chargable depending on what it is, but you will need to pay carriage for them).
  • If you see a product, or range of products, on the quote that you'd like then all you have to do is tell us which one, what quantity, what colour and size (if appropriate).
  • You will need to provide us with artwork for your logo / design that we can use to brand the product with.

  • If your company uses a Purchase Order system then this is usually when you'd let us know a PO number or reference for the order.

4. WE CONFIRM

  • Once we have all the information for the order we will respond immediately with a full acknowledgement of the details, namely:
  • The specific product you have chosen (colour, size, quantity, print details)
  • The total price for the order (which will be as quoted ... no added on extras)
  • Confirmation of your order details (purchase order number, order date, contact details, delivery details)
  • An artwork proof showing how your logo/message will appear on the product.
  • In the case of new customers we will issue an invoice for the order (for existing customers we invoice on delivery of goods).

5. YOU APPROVE

  • Once you have our order confirmation all you have to do is look it over to check it's as you'd like.
  • You will need to check all specifics about the product itself and also confirm that the artwork proof shows the product branding as you'd like.
  • As soon as you have approved both the order confirmation and artwork proof then we will put the product into production.
  • If you are a new customer you will need to pay the invoice at this stage too (existing customers are invoiced on job completion).

6. WE DELIVER

  • After the confirmed production time has passed we will deliver the goods to your chosen address.
  • We will confirm that the goods have been dispatched the day beforehand, and follow this up with an email to make sure that they have arrived safely.
  • Existing customers will be issued with an invoice at this stage (payment terms as agreed beforehand).
  • Once we know the goods have been delivered we will again follow things up a day or two later to double-check that you are happy with everything.
  • ...we really want you to be pleased with both our products and level of service; as we want to work with you more and more!
